Common Mistakes I See on Purchase Orders
I manage purchasing for a 14-person automotive accessory and installation shop. We install car audio, marine audio, motorcycle audio, GPS tracking, and overlanding gear. I've managed the equipment budget—roughly $190,000 a year since 2020—and I've negotiated with 40+ vendors in that time. Every order goes into our cost tracking system before I approve it.
I used to think a purchase order was just a price negotiation. The vendor with the lowest quote won. Three years of rework and expedite fees later, I changed my mind. That's why this checklist is for shop owners, procurement people, and lead installers who are tired of approving POs and then discovering the hidden costs later. In my opinion, the checklist matters more than the brand on the box. The right brand with the wrong current draw is still a dead vehicle. The right product with the wrong mounting kit is still a return.

Why does this matter? Because the cheap install is usually the one where nobody checked the electrical load. That's how a $700 amp creates a $1,200 electrical rework. I'd rather spend the same money on a smaller amp that fits the vehicle and install it cleanly.

Step 2: Choose Speakers for the Mounting Location, Not Just the Brand
Speaker selection is a fitment question first. Rockford Fosgate motorcycle speakers are a good example: they're engineered for handlebar, fairing, or tour-pack mounting, and they handle weather better than a standard car speaker. But the diameter, depth, and mounting pod still have to match the bike. A 6.5-inch pod speaker won't fit a fairing cut for 5.25-inch speakers without an adapter, and the adapter changes the install cost.
When I compared two orders side by side—same speaker model, different mounting kits—I finally understood why the mounting hardware matters as much as the speaker. The order with the correct adapter cost less overall because it didn't require a return and second install. The savings from skipping the adapter disappeared as soon as the install bay went over schedule.
Personally, I keep a fitment spreadsheet for every vehicle we service. It saves us at least one mistaken order per quarter.
Step 3: Apply the Same Checklist to Non-Vehicle Audio
Not every PO is for a vehicle. Last year, our owner asked me to set up a small listening room for client demos. It's a solid sub for a compact studio setup, but the same purchasing rules apply: I checked the input types, the room size, and whether Bluetooth latency would be an issue. Step 4: Plan GPS Tracker Installation Before You Buy the Tracker
GPS trackers look simple until you install one. The question is not which tracker has the best app. It's where is it going to live and how is it getting power.
For stolen vehicle recovery, the common places to hide a GPS tracker in a car are under the dash, behind the glovebox, inside the OBD-II port housing, in a door panel, and under rear cargo trim. But if an installer knows these spots, so does a thief. We usually choose a less obvious location that still has stable power and a clear view of the sky. That takes more labor, so the install should be on the quote from day one.
Also, check local law before installing a hidden tracker. In most regions, the vehicle owner's consent is required. We put a signed install authorization in the job file, and we don't install trackers without it.
Step 5: Quote a Rooftop Tent as a System, Not an Accessory
How much is a rooftop tent? As of Q1 2026, the pricing we see ranges from about $1,100 for a basic soft-shell tent to $2,200 for a mid-range hard-shell, and $3,500 or more for a premium model with an annex and upgraded mattress. But the tent itself is only part of the total cost.
A rooftop tent needs a roof rack or bed rack, crossbars, and sometimes extra mounting hardware. It also has to stay under the vehicle's published dynamic roof load rating from the owner's manual. The rating is not a suggestion. If the vehicle's roof cannot handle the tent plus the rack plus two people, the whole system is a liability.
I don't have hard data on every rooftop tent brand's weight, but based on the spec sheets we've collected, most hard-shell tents weigh between 120 and 180 pounds. Add the rack, and you're at 150 to 210 pounds before anyone climbs up. Check the owner's manual before you quote.
Step 6: Compare Total Cost, Not Invoice Price
When we source all of the above, I compare at least three vendors. The cheapest quote rarely wins after I add freight, restocking fees, and warranty handling into the spreadsheet. A few years ago, Vendor A quoted $1,900 for a complete audio kit. Vendor B quoted $1,820. B looked better until I added their $90 freight fee, $140 restock fee, and the 30-day return window that would have expired before our install bay opened. Total: $2,050. Vendor A's $1,900 included freight and a 60-day return policy. That's a 7% difference hidden in the fine print.
Now our procurement policy requires three quotes and a TCO comparison for any order above $500. It's not because we want the cheapest price. It's because the true cost usually shows up after the invoice.
Common Mistakes I See on Purchase Orders

To me, quality is a brand issue. When a customer hears a system that sounds clean and sees an install that doesn't rattle, they assume the whole shop is professional. The opposite is true too. Saving $40 on the wrong adapter can make a $3,000 project feel cheap. That's why I don't buy the lowest-price option by default. I buy the option with the lowest total cost and the least risk of a bad first impression.
